LED Walls, Sound and Lighting for Hotel Events: What to Ask For

What to ask for when booking LED walls, sound and lighting for a hotel event: size, pixel pitch, content ratio, mics, coverage, power, rigging and rehearsal.

When you book AV for a hotel event, ask for outcomes, not just a list of equipment: a screen everyone can read from the back, sound that is clear at every table, and lighting that makes faces look right in the room and on camera. Then check the quote against the room, the agenda and the hotel's rules.

This guide covers the questions to ask about each part of the setup, and the points where hotel events usually run into trouble.

LED walls: size, pitch and content

An LED wall is made of tiles fixed together, so it can be built to almost any size in steps of one tile. The things to settle are size, pixel pitch, content ratio and how it stands.

  • Size: big enough to read text from the back rows, but within the ceiling height once the wall is raised to clear the heads in front.
  • Pixel pitch: the gap between pixels. A finer pitch looks sharper close up and costs more. A coarser pitch is fine when the nearest viewer is further away. Ask the supplier to recommend a pitch for the distance to your front row.
  • Resolution: get the exact pixel size of the finished wall and give it to whoever makes your slides and videos.
  • Structure: whether the wall stands on a ground frame or hangs from rigging, and what the hotel allows.
  • Brightness: in a dark ballroom, LED often needs turning down so it does not overpower faces on camera.

A wide LED wall playing content made for a standard widescreen shape shows black bars or stretched images. This is the most common LED mistake, and it is avoided by agreeing the canvas size before any content work begins.

Projection or LED?

Projection still has a place. It is silent, works on very large or unusual surfaces, and can suit a small room on a careful budget. It struggles where there is a lot of ambient light, needs a clear throw path that people and rigging do not block, and looks less punchy on camera. LED is brighter, sharper and more flexible in shape, but heavier and hungrier for power.

For hybrid or recorded events, LED usually wins because cameras pick it up cleanly. For a breakout or training room, a good projector or a large display is often the sensible choice.

Sound: coverage, mics and monitoring

Ask how the speakers will cover the room. A pair of speakers on stands may do for a small meeting, but a large ballroom usually needs speakers spread along its length so the back is not quieter than the front.

  1. How many wireless lapel and handheld mics, and how many spares?
  2. Will a sound engineer stay at the desk throughout the event?
  3. How is audio from video playback fed into the system?
  4. What monitor speakers are planned for performers and panels?
  5. If there is a band, is its sound handled separately?
  6. Can the desk provide a clean feed for recording or streaming?

Wireless mics can suffer interference in busy hotels with several events running at once. A good engineer scans frequencies on site and keeps wired backups for the most important speakers.

Lighting: faces, stage and room

Event lighting has more jobs than most people expect. Front light makes faces visible. Back light separates speakers from the screen. Coloured washes on the set and walls create mood. Audience light lets the room see itself during awards and questions. Moving lights add energy for entries and performances.

Ask for a lighting plan that shows each of these, and ask how lighting will be run during the show. A dedicated operator following a cue list is very different from lights left on one setting all evening.

If you are filming, tell the lighting team early. Camera-friendly lighting is brighter and more even on faces than lighting designed only for the room, and it changes where the fixtures go.

Power, rigging and the hotel's rules

LED walls, lighting and sound together draw a lot of power. Ask the hotel what is available in the room, how much, and where the supply points are. If it is not enough, a generator or temporary supply may be needed, and the hotel will have rules on where it can stand and how cables reach the hall.

Rigging rules differ between hotels, and sometimes between halls in the same hotel. Some allow lights and speakers to hang from approved points. Others allow only ground-supported structures. Confirm this early, because it changes the stage, the screen and the light plan.

  • Ask whether you must use the hotel's in-house AV, and whether outside suppliers carry a charge.
  • Ask for the hall's floor plan with power points marked.
  • Ask for set-up and dismantle windows, including any overnight access.
  • Ask about sound limits, especially for outdoor areas and late events.

Rehearsal is part of the booking

A full AV setup is only as good as its rehearsal. Book time between set-up and doors for a technical run, with the host, the first speaker and every video played on the actual screen with sound. Our corporate events team runs this rehearsal and the show itself, with one show-caller cueing LED content, sound and lighting together.

Ask for a written equipment list with every quote, so you can compare suppliers like for like: wall size and pitch, speaker count, mic count, lighting fixtures and the number of operators on the day.

We supply and run AV alongside stage sets built in our factory, for hotel events across South India. See our pages on corporate events in Hyderabad and corporate events in Kochi for local notes.
