Exhibiting in Hyderabad: Planning Your Stall at HITEX and Beyond

Planning a stall in Hyderabad: who exhibits, HITEX and hotel venues, lead times from Bengaluru, what to confirm in the exhibitor manual and mistakes to avoid.

Hyderabad's trade shows are shaped by the industries the city is known for: pharmaceuticals and life sciences, diagnostics and healthcare, IT and technology services, and a growing manufacturing base. The main exhibition venue is HITEX near HITEC City, and many conferences with display areas take place at large hotels and convention centres in the western part of the city.

To plan a stall here, work out the venue and audience first, read the exhibitor manual early and give your fabricator enough time. We build Hyderabad stalls at our Bengaluru factory and ask for a brief 4 to 6 weeks ahead of the show.

What Hyderabad audiences expect

A lot of Hyderabad's exhibition traffic is scientific, medical or technical. Visitors include lab heads, procurement teams, doctors, researchers and engineers. They are interested in detail, they ask precise questions and they often want a private conversation.

  • Clean, uncluttered finishes that suit pharma, diagnostics and healthcare brands.
  • A closed or semi-closed meeting space for confidential or commercial discussions.
  • Demo stations with good lighting and stable power for instruments and screens.
  • Graphics that state clearly what you make or do, without heavy marketing language.
  • Secure storage for samples, devices and laptops.

For example, India Diagnostic Expo 2026 runs from 18 to 20 December 2026 at HITEX. A diagnostics stall there needs proper demo space for analysers and a place to talk through pricing and service terms in private.

Exhibiting at HITEX

HITEX has several exhibition halls and outdoor areas, and the conditions differ by hall and by show. Do not reuse assumptions from another show at the same venue. Check the current exhibitor manual and confirm these details.

  1. Hall number, stall size and open sides, so the design is drawn for your actual plot.
  2. Height limits for walls, fascia and any overhead elements.
  3. Power: load available, application deadline and where the supply point sits.
  4. Whether heavy or large exhibits need special handling or advance notice.
  5. Build-up and dismantling windows and any limits on working hours.
  6. Design approval: drawings, structural details and deadlines.

Hotel and convention centre events

Hyderabad hosts many medical conferences, pharma meetings and technology events at hotels and convention centres. These usually come with smaller display areas outside the main hall. The stall is smaller, but the constraints are tighter.

  • Hotels often restrict what can be fixed to walls and floors, so displays need to be freestanding.
  • Load-in usually happens through service corridors and lifts, which limits the size of panels.
  • The setup window can be short if the hall has an event the night before.
  • Finishes need to match the venue's look, so lighter and more refined builds work best.

Our Hyderabad corporate events team handles conference staging and display areas at hotels across the city, alongside exhibition work.

Timeline from Bengaluru

Stalls for Hyderabad are designed in 3D, built and dry-assembled at our factory, packed and trucked to the venue. Our own crew travels with the stall and installs it.

  1. Weeks 6 to 5: brief, plot details and first design.
  2. Weeks 5 to 4: design revisions and submission to the organiser.
  3. Weeks 4 to 2: fabrication, finishing and graphics production.
  4. Week 2: dry assembly at the factory, electrical check and client review.
  5. Final week: packing, transport and installation during build-up days.

This is a guide, not a fixed schedule. Larger islands, double-decker stalls or complex demo setups need more time, and the organiser's deadlines may move some steps earlier. If you are still waiting on plot details or approvals, send the brief anyway. We can start the design on assumptions and adjust once the details arrive.

Mistakes to avoid

  • Building an open stall for an audience that needs privacy, then improvising a meeting area on the day.
  • Ordering too little power for instruments, screens and lighting together.
  • Bringing delicate devices without a secure, lockable store on the stall.
  • Missing the design approval deadline and starting fabrication on an unapproved drawing.
  • Using hard-to-clean finishes on healthcare stalls where visitors expect a clinical look.

Designing the meeting space

Because so many Hyderabad conversations are commercial or technical, the meeting area deserves real thought. It does not have to be large, but it should feel separate from the open stall. A meeting room with a door, frosted panels or a raised partition gives visitors the sense that they can speak freely.

  • Size it for the number of people in a typical meeting, usually two to four plus your staff member.
  • Include a small table, comfortable chairs and a power point for laptops.
  • Add a screen if your team presents data, pricing or case material during meetings.
  • Keep it close to the store so samples and documents are within reach.
  • Make sure the meeting area has its own lighting, so it does not feel like a dark box behind the stall.

On a smaller stall, a semi-open meeting corner with a high-backed partition can do much of the same job. The trade-off is privacy against floor space, and the right answer depends on how many serious meetings you expect each day.
