Exhibiting in Bengaluru: Shows, Venues and Stall Planning
A practical guide to exhibiting in Bengaluru: the main venues, how shows differ across BIEC, KTPO and Palace Grounds, lead times and what to confirm early.

Bengaluru is one of the easiest Indian cities to exhibit in if you plan for the venue rather than the city. The shows here range from large technology and industrial events at BIEC on Tumkur Road, to mid-sized trade shows at KTPO in Whitefield, to consumer and property expos at Palace Grounds. Each venue asks for a slightly different stall plan, so the first step is knowing where your show is and what kind of crowd it draws.
For exhibitors, the big practical advantage is proximity to fabrication. Our factory is in Bengaluru, so stalls for local shows travel a short distance, dry-assembled pieces arrive in good condition and changes late in the process are easier to handle. We ask for a brief 3 to 4 weeks ahead of a show in Karnataka.
The main exhibition venues
BIEC, Tumkur Road
The Bangalore International Exhibition Centre hosts many of the city's largest trade shows, including the Bengaluru Tech Summit 2026 from 17 to 19 November 2026. It also hosts large industrial events such as IMTEX, where heavy machines and large island stalls are common. Stalls here tend to be bigger and more built, and build-up schedules are tight because many exhibitors move in at once.
KTPO, Whitefield
The KTPO trade centre in Whitefield is closer to East Bengaluru's IT corridor and often hosts mid-sized trade and industry shows. Plan the stall for the specific hall you are allotted, and check the organiser's manual for height limits, power arrangements and build-up timings, as these vary by show and hall.
Palace Grounds
Palace Grounds is used for consumer, property and lifestyle expos, often in temporary structures or open areas. These shows bring a walk-in public crowd, so stalls need strong frontage, a clear sales desk and storage for brochures and stock. Where the structure is temporary or partly open, plan for weather and confirm the flooring and power setup with the organiser.
Matching the stall to the show
The same company can need very different stalls at a technology summit and a consumer expo. Before you brief a designer, be clear on who walks the aisles and what you want them to do at your stall.
- Technology and startup shows: demo stations, screens at eye height, a quiet spot for investor or partner conversations and fast lead capture.
- Machinery and industrial shows: space and floor strength for heavy exhibits, safe demo zones, a meeting room for technical buyers.
- Consumer and property expos: open frontage, a welcoming counter, sales desks with some privacy and plenty of storage.
- Government and policy-led events: clean, formal finishes and a stall that photographs well, since visits by officials are often covered.
What to confirm before design starts
Every show publishes an exhibitor manual. We do not assume venue rules from one show to the next, because organisers set them differently even in the same hall. Read the manual early and check these points in particular.
- Stall size, open sides and hall number, so the layout is drawn for the real plot.
- Maximum build height and any rules on overhead fascia, hanging banners or rigging.
- Power: how much load you can order, where the connection point is and the deadline to apply.
- Design submission: what drawings the organiser needs and by when.
- Build-up and dismantling dates and hours, including any night work rules.
- Material and fire safety requirements, such as treated timber or fire retardant fabrics.
Timelines and logistics
Because our factory is local, a Bengaluru show gives you more room for late decisions than an out-of-state one. That does not mean the brief can arrive the week before. Design, organiser approval, fabrication, finishing and dry assembly all need time, and approvals often take longer than expected.
- Brief 3 to 4 weeks ahead for a standard custom stall at a Karnataka show.
- Allow more time for double-decker stalls, large islands or anything that needs structural sign-off.
- Plan delivery around city traffic and venue entry slots. BIEC is on the city's northwest edge, KTPO in the east and Palace Grounds near the centre.
- If you exhibit at several Bengaluru shows a year, consider a stall built for reuse and stored between events.
Reuse makes particular sense here: a stall stored at our factory can be refreshed with new graphics and reconfigured for a different plot without travelling far. Read more on our Bengaluru exhibition stalls page.
Common mistakes at Bengaluru shows
- Treating all three venues the same and reusing a design that suited one crowd but not the other.
- Missing the power application deadline and paying more for late connections, or getting less load than needed.
- Underestimating build-up congestion at large BIEC shows, where many trucks arrive on the same day.
- Skipping storage on consumer expo stalls, so brochures and stock end up stacked in view.
- Leaving organiser approvals until fabrication has started, then needing changes.
If you are also planning hotel events or client meetings during the show, our team covers that too. See our Bengaluru location page for the areas and services we cover in the city.
Visiting the factory before the show
One advantage of a Bengaluru show is that you can see your stall standing before it ever reaches the venue. Every stall we build is dry-assembled in the factory, wired and lit. For local clients, that review is a short drive away, and it is the best moment to catch anything that looks different from the 3D design.
- Check graphics for spelling, colour and placement at full size, not on a laptop screen.
- Walk the stall as a visitor would and see what you notice first from the aisle.
- Open every storage door and test every counter and shelf height with your team.
- Switch on the lighting and look at your products under it, not just the empty stall.
Changes found at this stage are quick to make. The same change found at the venue on build-up day is slower and harder.
