Capturing Leads at Your Stall and Following Up After the Show

How to define, capture and grade leads at your stall, and a follow-up plan for the days and weeks after the show so good conversations turn into business.

Good lead capture starts before the show. Agree as a team what counts as a lead, capture every useful conversation with a few qualifying notes rather than just a name and number, and follow up within days while the visitor still remembers your stall. Most of the value of a trade show is lost in the two weeks after it, when a stack of business cards sits in someone's bag.

The method you use to capture leads matters less than having one method that everyone on the stall follows. Here is a simple system that works for most B2B exhibitors.

Decide what a lead is

Before the show, write down which visitors you want to follow up and how fast. A simple three-level grade is enough for most teams.

  • Hot: has a need, a timeline and some say in the decision. Follow up within a day or two.
  • Warm: interested and relevant, but no clear timeline. Follow up within the week and keep in touch.
  • Cold or general: students, competitors, suppliers or casual visitors. Note them, but do not clog the sales pipeline.

Then agree the fields to record for every hot or warm lead: name, company, role, city, products of interest, the problem they described, timeline, and what you promised to send. The promise is the most forgotten field and the most useful one.

Choosing a capture method

Each method has trade-offs. Pick one main method and one backup.

  • Badge scanning: fast and accurate for contact details, if the organiser offers it. Check in the exhibitor manual whether it is available and what it costs. Scans still need notes added.
  • Tablet or phone form: lets you capture qualifying fields and grade on the spot, and syncs to your sales team. Needs reliable charging and a simple form.
  • Business card with notes: works everywhere, but write on the back of the card at once or the context is lost.
  • WhatsApp: quick for sending a brochure during the conversation, but record the lead somewhere central too, or it stays on one person's phone.

Design the stall for capture

The stall layout affects how easily your team can record leads. A counter near the front, at a comfortable standing height, gives the greeter a place to scan badges or fill a form without leaving the visitor. A small table or meeting area lets senior staff sit down with serious buyers and take proper notes.

Plan charging points for tablets and phones into the counter, and make sure the stall has somewhere to keep brochures and samples you promise to hand over. For tech audiences at shows such as Bengaluru Tech Summit 2026, held from 17 to 19 November at BIEC, a QR code on the counter that opens your demo booking or contact form also helps visitors who prefer to share details themselves.

During the show

  1. At the end of each day, the lead owner collects every scan, form and card and puts them in one sheet or CRM.
  2. Each hot lead gets a named owner from the sales team that evening.
  3. Hot leads get a short message the same evening, thanking them and confirming what you will send.
  4. Any visitor who asked to meet again during the show gets a time booked before they leave the stall.
  5. Note common questions and objections, because they shape the follow-up messages.

Following up after the show

Speed and specifics matter more than polish. A follow-up that mentions the visitor's actual question will be read. A generic thank-you newsletter will not.

  1. Within two working days: a personal message to every hot lead with what you promised, such as a quote, a catalogue, or a visit date.
  2. Within a week: a follow-up to warm leads with something useful, such as a case example, a spec sheet or an invitation to see the product.
  3. Within two weeks: a review of every hot lead with the sales team. Has each one had a real conversation since the show?
  4. Over the next few months: keep warm leads in a regular, low-pressure contact plan, and track which ones turn into enquiries.

Respect the visitor's data

Visitors share their details because they expect a useful reply, not a flood of messages. Ask before adding someone to a mailing list or a WhatsApp broadcast, and record that they agreed. Keep the lead sheet in one shared, access-controlled place rather than in personal spreadsheets, and remove people who ask not to be contacted. Handling data carefully is good practice, and it also protects the reputation you worked to build at the stall.

Hand-offs to dealers and partners

If some leads belong to a dealer or channel partner in another city, pass them on quickly with the notes from the conversation, and ask the partner to confirm when they have made contact. A lead handed over a month later, with only a name and number, is usually a lead lost.

Mistakes to avoid

  • Letting each salesperson keep their own leads on their own phone.
  • Waiting until the team is back in the office to start follow-up.
  • Sending the same email to every visitor regardless of what they asked.
  • Counting scans as leads. A scan is a contact; a lead is a contact with a need.

The stall gets the visitor talking. The follow-up decides whether the show paid for itself. If you are planning stalls in Chennai or anywhere else, plan both together, and see our exhibition stalls page for layouts that make room for good conversations.
