Pharma and API Exhibition Stalls: Meeting Rooms and Clear Graphics

Planning a pharma or API stall: sizing meeting rooms, reception flow, graphics that pass internal review, sample display and lockable storage for documents.

A pharma or API stall is mostly a meeting space with a brand around it. Buyers, sourcing teams and distributors come with appointments, sit down, and talk about molecules, capacities, documentation and timelines. The design should make those meetings easy to hold, easy to keep private and easy to find, while the graphics state clearly who you are and what you make.

The second thing that sets pharma apart is review. Almost everything printed on the stall goes through regulatory, quality or medical review inside your company before it can be shown. Plan for that and the stall arrives on time. Ignore it and graphics get reprinted the night before build-up.

Decide how many meetings you need to hold at once

Start with your meeting plan, not the floor plan. Ask your business development team how many meetings they expect per day, how many will run at the same time at peak hours, and how many need a closed room versus an open table. That gives you the split between enclosed rooms, semi-open tables and a standing area.

  • Closed meeting rooms for pricing, contract and confidential technical talks
  • Semi-open tables with low partitions for introductory meetings
  • A reception counter where a host checks appointments and manages waiting
  • A small waiting area so early visitors do not crowd the counter
  • A store room for bags, samples, brochures and catering supplies

Meeting rooms on a stall are not soundproof rooms. Solid walls with a ceiling or a fabric top reduce noise and stop people looking in, but voices still carry. If confidentiality really matters, place the rooms away from the busiest aisle and keep the reception area between the aisle and the rooms.

Sizing and fitting out meeting rooms

Each room needs a table for the expected group, chairs that people can actually pull out, and space to walk behind them. A screen on the wall helps when your team needs to show site photos, process flows or a product list. Add a power point at the table for laptops and phones, and a small shelf or cabinet for documents.

Doors matter more than people expect. A sliding or outward-opening door saves space, and a frosted panel or a glass strip with a film lets the host see whether a room is free without walking in. Put a simple room name or number on each door so your team can direct visitors quickly.

Ventilation and comfort

Closed rooms get warm when four people sit in them for an hour. Ask whether the hall air conditioning will reach inside, and consider an open top or a mesh panel if it will not. Organisers often have rules on closed ceilings on stalls for fire safety reasons, so check the exhibitor manual before you design a fully covered room.

Graphics that pass internal review

Pharma graphics work best when they are factual and short: company name, what you make, where you make it, and how to start a conversation. Long claims are harder to approve and harder to read from the aisle. Let the meeting carry the detail.

  1. Agree the final message list with marketing and regulatory before design starts.
  2. Ask regulatory or quality which product names, approvals and certifications can be shown, and in what wording.
  3. Send the design with final text in place, not placeholder copy, for review.
  4. Freeze artwork by an agreed date that leaves time for printing and transport.
  5. Keep the approved text file on record, so the same wording can be reused at the next show.

Only display certifications and approvals that are current, and let your quality team confirm them. Molecule lists are useful for API exhibitors, but they change. Consider putting the full list on a screen or a printed sheet at the counter, and keep the fixed wall graphics to categories and capabilities. That way a change in the product list does not mean reprinting a wall.

Displaying samples and documents

API exhibitors often display samples in sealed containers or vials, and finished-dose companies show packs. Treat these as display only. Lit showcases with acrylic or glass fronts keep samples visible, clean and out of reach. Check the organiser's rules on displaying chemical or pharmaceutical samples, and whether anything needs to be declared in advance.

Your team will also carry technical documents, price sheets and visiting cards. Build lockable storage into the counter or the store room, because the stall is often left with fewer people during lunch and at the end of the day. A small lockable cabinet in each meeting room is useful too.

Reusing a pharma stall across shows

Many pharma companies exhibit at several shows a year, in India and abroad. A stall with a fixed structure of meeting rooms, counter and store, and swappable graphics, can be stored and rebuilt in different sizes. Our approach to reusable stalls is to design modules that still work if the stall changes from an island to a corner.

If you exhibit in Hyderabad, where many pharma and life sciences companies are based, our stall builds in Hyderabad and planning notes for HITEX are a good place to start. For Mumbai shows, see our guide to Bombay Exhibition Centre. Our lead times are 3–4 weeks for Karnataka, 4–6 weeks for the rest of South India and 6–8 weeks elsewhere. Add your internal review time on top.
