IITF 2026 Stall Guide: Planning a Stall for a 14-Day Fair

IITF 2026 runs 14–27 Nov at Bharat Mandapam. How to plan a stall that survives 14 days: tough finishes, stock storage, staff shifts, crowd flow and upkeep.

IITF 2026 runs from 14–27 Nov 2026 at Bharat Mandapam, New Delhi. Fourteen days is a very different job from a three-day trade show. A stall that looks perfect on the first morning has to look the same on the last evening, after thousands of visitors have leaned on its counters, walked its floor and touched every product within reach.

So the planning question for IITF is not only how the stall should look. It is how the stall will be run, restocked, cleaned and repaired for two weeks. Design for endurance first and appearance second, and you will get both. Our IITF 2026 show page has the dates and planning notes in one place.

Choose finishes that survive two weeks

Materials that are fine for a short show start to fail on a long one. Soft paint finishes scuff at knee height, fabric graphics sag if they are not tensioned properly, and light-coloured carpet turns grey within days in a busy consumer hall.

  • Use laminate or a hard-wearing coat on counters and lower wall panels, where hands, bags and shoes make contact.
  • Add a skirting or kick plate along the base of walls that face the aisle.
  • Choose a darker or patterned carpet, or a raised platform with a durable top, rather than plain light carpet.
  • Fix graphics so that individual panels can be replaced without stripping the whole wall.
  • Round off or edge-band every corner people brush past, so the edge does not chip.

We pack a small maintenance kit with every long-show stall: touch-up paint, spare laminate strips, edge tape, spare bulbs or LED strips, fixings and a few spare graphic panels for the most exposed spots.

Plan for crowds, not just visitors

A fair of this kind usually draws both trade visitors and the general public. Check the organiser's schedule for how the days are divided, because the stall may need to work in two modes: quieter meetings on trade-focused days and heavy walk-through traffic on public days.

Layout that keeps people moving

On public days, a stall with one entry point jams up quickly. Where the space allows, give visitors a clear way in and a different way out, keep display tables away from the entry, and set the main product display back from the aisle edge so a crowd can gather without blocking neighbouring stalls.

Sales and billing counters

If you sell on the stall, the billing counter needs its own space, its own power and a little queue room. Put it near the exit, not in the middle of the display. A lockable drawer, a place for a card machine and a small shelf for packed orders save a lot of daily confusion.

Lighting for long days

Stall lights run for many hours a day across the full fortnight. Use LED fittings that stay cool, keep spotlights away from products that can fade or soften under heat, and avoid fittings that need constant adjustment. A light that slips out of position on day three will be pointing at the floor by day ten unless someone fixes it properly.

Ask for every fitting to be fixed and tested during the factory dry-assembly, and keep a couple of spare strips and spotlights in the maintenance kit so a failure does not leave a dark patch on the main wall.

Storage and restocking for 14 days

Most exhibitors underestimate how much stock and material they carry on a long show. Brochures, samples, packaging, giveaways, staff bags, water and cleaning supplies all need a home. Plan a lockable storage room or cupboard inside the stall, sized for at least a day or two of stock, and confirm with the organiser how and when goods can be brought into the hall during the show.

Check the exhibitor manual for the rules on overnight security, material movement windows and whether vehicles can reach the hall during show days. These rules decide whether you restock every morning or carry larger buffers inside the stall.

Staffing and daily upkeep

No team can stand on a stall for fourteen days without rotation. Plan shifts from the start and brief every shift on the same points: what the stall offers, how leads are captured, where stock sits and who to call when something breaks.

  1. Before opening: wipe counters and screens, vacuum or sweep the floor, check every light and screen.
  2. Midday: restock displays, clear empty boxes into storage, check the floor for damage.
  3. Closing: lock storage, switch off what the organiser requires, note any repairs needed.
  4. Every few days: walk the stall with a fresh eye and fix scuffs, loose graphics and dead lights.

Our crew stays on call through the show, so small repairs happen overnight or before opening rather than in front of visitors.

Building in Bengaluru for a Delhi show

Our factory is in Bengaluru, so for New Delhi we ask for the brief 6–8 weeks before the show. That window covers design, organiser approval, fabrication, a full dry-assembly in our factory, packing and road transport. On a long show, the dry-assembly matters even more, because any weak joint or loose panel will show itself well before day fourteen.

Read the Bharat Mandapam venue guide for planning notes, and confirm the build-up and dismantling windows, height limits and power ordering deadlines in the exhibitor manual. If you exhibit often in the capital, our page on stalls in New Delhi covers how we work there.
