Bharat Mandapam: Building a Stall in Bengaluru for a Delhi Show
How to exhibit at Bharat Mandapam with a stall built in Bengaluru: the 6–8 week timeline, packing for a long road trip, what to confirm and shows to plan for.

Yes, you can build your stall in Bengaluru and exhibit at Bharat Mandapam in New Delhi. It needs a longer lead time, careful packing and a build-up plan that assumes the workshop is far away. A stall designed, built and dry-assembled in our factory travels as a set of tested, labelled parts, so what goes up at Pragati Maidan is what you approved in Bengaluru.
Here is how we plan a Delhi show from the south, and why some exhibitors prefer it to finding a new local vendor for every show.
Why build in Bengaluru for a Delhi show
- One team for all your shows: the same designer and crew know your brand and your stall.
- Your stall can be stored at our factory and reused, rather than rebuilt by a different vendor each time.
- Dry-assembly in the factory means you can see the stall standing, or walk through it, before it ships.
- Our own crew travels with the stall, installs it and stays through the show.
The trade-off is time. Long-haul transport adds days at both ends of the show, and that has to be planned from the first conversation, not discovered in the last week.
The timeline: 6–8 weeks
For shows outside South India we ask for a brief 6–8 weeks ahead. Here is roughly how that time is used.
- Weeks 1–2: brief, exhibitor manual review, 3D design and revisions.
- Week 3: organiser drawings submitted, power ordered, contractor registration filed.
- Weeks 4–5: fabrication at our factory, graphics and electricals.
- Week 6: dry-assembly, snag fixes and packing.
- Weeks 6–7: road transport to Delhi, with a buffer.
- Build-up days: installation, inspection and handover.
Large shows often have early submission deadlines. If yours does, the design weeks move forward. Always read the manual's deadline list before agreeing a plan.
Packing for a long road trip
A stall that crosses the country takes more knocks than one going across town. Packing is part of the design, not an afterthought.
- Design the stall in sections sized for the truck and for the venue's doors and goods lifts. Confirm those sizes with the organiser.
- Protect painted and laminated faces with foam and stretch wrap, with extra guards on corners.
- Crate acrylic, glass, screens and lit elements separately.
- Label every part to match the assembly drawing, so installation follows a known order.
- Pack a spares crate: extra pieces for high-risk parts, matched touch-up paint, fixings, lamps and drivers.
The spares crate is the difference between a small fix and a lost morning. On a Delhi build there is no running back to the workshop, so anything likely to chip, crack or fail has a backup on the truck.
What to confirm about Bharat Mandapam
Bharat Mandapam is a large, modern venue, and the rules for your stall depend on the hall and the organiser. We do not assume specs; we check them for every show.
- Hall and plot, permitted build height and any rules on double-decker stalls.
- Truck entry, unloading slots and, if your hall is not at ground level, goods lift sizes and booking.
- Power ordering, load declaration and the inspection process.
- Material and fire safety requirements, including any certificates.
- Build-up and dismantle hours, and whether night work is permitted.
- Contractor pass rules for crew travelling in from outside Delhi.
Shows at Bharat Mandapam to plan for
IITF 2026 runs 14–27 November 2026, which is a long show. A 14-day fair needs a stall built for wear: durable flooring, strong counters, and graphics that can be cleaned or swapped. Plan staff rotations and a daily maintenance check from the start, and keep extra stock storage on the stall.
Convergence India 2027 and Mobile India Expo 2027 run together on 23–25 March 2027. To stay inside our window, brief by the end of January, earlier if your stall has a meeting room or a large screen wall.
Season matters on the road. November and December shows can meet winter fog on the northern leg of the journey, so we keep extra buffer for that stretch and plan the crew's travel separately so they arrive rested.
Crew, support and the return trip
On an out-of-state build, the crew is the most important thing on the truck. Our installers are the same people who built and dry-assembled the stall, so they know every joint, every cable route and every place a panel might need a nudge. They travel ahead of build-up, install, stay through the show and dismantle.
- Crew travel and stay are planned with the build-up schedule, so they arrive before the truck, not after it.
- One crew lead is your single contact on site for every change or fix.
- Locally available consumables, such as tape, cleaning supplies and small fixings, are bought in Delhi to keep the load lighter.
- Anything specific to your stall, such as matched paint, special lamps or acrylic, travels from Bengaluru in the spares crate.
After the show
Decide before the show what happens to the stall afterwards. It can come back to our factory for storage and reuse, or parts of it can be reused at your next show if it is also in North India. Planning this early changes how the stall is built: joints designed to be opened many times, panel sizes that suit more than one plot, and graphics fixed so they can be swapped without damage.
